We are looking for Senior Operations Manager who will support and improve business operations across all 4 locations of our international organization (Poland, Ukraine, U.S., Colombia). This role will focus on defining and optimizing internal processes, supporting compliance efforts, and enabling effective cross-functional departmental reporting. You will collaborate with Sales, Delivery, Finance, HR, Talent Acquisition, and other teams, while managing a small operations team, to ensure our operational infrastructure scales with our growth. Experience in the professional IT outsourcing or technology services sector is preferred.
This is a hands-on, mid-to senior level position suited for an individual with a strong process mindset, familiarity with professional services operations, and a working knowledge of relevant systems and frameworks.
Who are we looking for?
Responsibilities:
- Define and standardize business processes to support service delivery and internal operations.
- Document and maintain business process maps, identifying areas for automation and efficiency improvement.
- Lead cross-departmental process improvement initiatives in coordination with senior leadership.
- Develop and maintain internal SOPs, checklists, and procedures to ensure operational consistency.
- Administer and optimize internal systems and tools, including PSA platforms and dashboards.
- Ensure data accuracy and consistency across systems used for staffing, delivery, and project tracking.
- Collaborate with IT and external vendors on system issues, improvements, and tool rollouts.
- Oversee compliance-related activities, including SOC 2 renewals, internal audits, and data privacy alignment (e.g., GDPR).
- Identify operational risks and implement mitigation strategies to reduce impact.
- Manage and support operational metrics and reporting, including SLA tracking, dashboard oversight, and KPI monitoring.
Skills&Experience:
- 4–6 years of experience in operations, project coordination, or process management within an IT outsourcing or technology services company.
- Practical knowledge of, and experience with, business systems such as PSA tools, dashboards (e.g., Power BI, Google Data Studio), and workflow documentation.
- Familiarity with SOC 2 and GDPR-related operational requirements.
- Strong organizational, documentation, and cross-functional communication skills.
- Analytical thinking and problem-solving abilities.
- Experience with developing and managing budgets.
- Excellent understanding of project management methodologies and process improvement frameworks.
- Proficiency in English (written and verbal); Polish is a plus.
